How It Works
Importing from China doesn't need to be complicated. As your sourcing agent in China and Cyprus, here's what happens at each stage, what we'll need from you, and how long things usually take.
Step 1
Free Call
Everything starts with a conversation. On a free, no-obligation call, we'll learn what you need and whether sourcing from China makes sense for you. If it does, we'll use your answers to build a detailed product specification, the document factories quote and produce from.
What we'll ask about:
- The product: what it is, what it's used for, and any photos, drawings or links to similar items
- Size and materials: dimensions, materials, weight and finish
- Colours and branding: Pantone codes if you have them, and your logo files
- Quantities: your first order quantity, and how much you expect to reorder
- Target price: what you pay now, or what you need to pay to make a profit
- Standards: any certifications your product needs for the EU, such as CE marking
- Packaging: retail boxes, bulk cartons or custom printing
- Timing: when you need the goods in Cyprus
Don't worry if you don't have all the answers yet. Part of our job is to help you fill the gaps. The more detail we agree now, the fewer surprises later. Factories won't fill in the blanks for you. If something isn't specified, they'll usually choose the cheapest option, which can affect quality.

Step 2
Finding Suppliers
Using your specification, our Ningbo team searches for manufacturers that make your product and can meet your quality, quantity and price requirements. We don't rely on online listings alone. We check that each factory is a genuine manufacturer rather than a trading company, review its licences and certifications, and visit in person where needed.
We then present you with a shortlist of suppliers, including their pricing, minimum order quantities (MOQs) and lead times. If a factory's MOQ is higher than you need, we'll negotiate. Many factories accept a smaller trial order for a slightly higher unit price.
Typical timeframe: 1–2 weeks

Step 3
Samples & Approvals
Before any money goes into production, you'll receive physical samples to check and test. These may be finished products or swatches showing material and colour options.
For custom products, it may take a few rounds of adjustments until the sample is exactly right.
What to expect:
- Sample costs: Samples usually cost 3–5 times the final unit price, because they cover machine setup, materials and technician time. Even when a factory has samples ready-made, it will usually charge a premium to discourage time-wasters. If custom tooling or moulds are needed, the cost can be much higher. This is all normal.
- Payment upfront: Sample and courier costs are paid in advance. The factory starts making your sample once the sample fee is received, and the parcel is dispatched once the courier cost has been paid.
- Courier shipping: Samples are sent by express courier, such as DHL or FedEx, so they arrive quickly and can be tracked. Couriers charge a minimum fee even for small, light parcels, so expect to pay more for shipping than the size of the box might suggest. Where possible, we combine samples from different factories into one parcel to save you money on shipping.
- Sample refunds: We'll ask the factory to refund the sample cost once you place your production order. Most reputable factories agree.
The approved sample becomes the “golden sample,” the reference that your production order is checked against.
Typical timeframe: 1–4 weeks per sampling round

Contracts & Payment
Once you've approved the sample, we agree the final terms with the factory. Clear contracts mean everyone knows exactly what's expected.
How we protect your order:
- Written contract: Price, quantities, specifications, packaging, delivery dates and quality standards are all agreed in writing.
- Split payment: Typically a 30% deposit before production and the 70% balance once your goods pass inspection. We'll never advise paying a new supplier in full upfront.
- Letter of credit: For larger orders, your bank can guarantee payment only once the agreed shipping documents are presented.
- Incoterms: We agree who pays for freight and insurance at each stage, so there are no hidden costs later.

Step 5
Quality Control
This is where our China office makes the biggest difference. Before your goods ship, we check them against the approved golden sample and your specification. You'll receive a detailed report with photos before you pay the balance.
How we check your goods:
- Office inspection: For smaller items, the factory sends a sample batch from the production line to our Ningbo office, where we check it against the approved golden sample.
- Video inspection: For large or bulky goods, we review video evidence from the factory.
- Factory visit: For high-value orders, our team can visit the factory in person, as an optional paid service.
- Inspection costs: The right method depends on your product, and we'll recommend one before production starts. Factory visits are charged separately to cover transport, accommodation and expenses, and we'll confirm the cost with you in advance.
If something goes wrong:
- Direct resolution: We deal with the factory directly, whether that means reworking goods, replacing them or negotiating compensation.
- Legal protection: As a registered company in China, we can pursue disputes through local legal channels if needed. That's protection you don't get when buying from overseas on your own.
Typical timeframe: Mass production usually takes 25–45 days.
Step 6
Shipping & Storage
Once your goods pass inspection, we arrange everything needed to get them to Cyprus: freight booking, export and import paperwork, and customs clearance.
- Air freight to Cyprus: 12–14 days, best for urgent or high-value orders
- Sea freight to Cyprus: currently 55–65 days, the most cost-effective option for larger orders
Sea freight takes longer than usual at present: because of the current conflicts in the region, ships are avoiding the Suez Canal and sailing around the Cape of Good Hope. Once the Suez route reopens, sea freight should be about 20% quicker. For the UK and other EU countries, contact us for transit times.
When your goods arrive, we can deliver straight to your door, or store your stock in our Cyprus warehouse, with delivery schedules agreed at order stage. That means you can order in larger, cheaper quantities without needing space of your own.
Total time from order to delivery in Cyprus: roughly 12–16 weeks by sea, or 5–9 weeks by air.
Frequently Asked Questions
Can you arrange delivery from the port to my door?
Yes. You can collect from the port, or we can arrange onward transport for you remotely.
Do you offer cargo insurance?
Yes. When we ship on your behalf, your goods are insured in transit, and the cost is included in our price, so there's nothing extra to arrange or pay separately.
What happens if my shipment is delayed?
We'll tell you straight away and keep you updated until it arrives. There are no direct sailings from China to Cyprus, so containers are transferred at other ports along the way, and occasionally they get held up there. The delivery times we quote already allow for this, so they're a safe guide, but some delays are outside anyone's control.
How does Chinese New Year affect my order?
Chinese New Year, which falls between late January and mid-February (6 February in 2027), disrupts production and shipping for around eight weeks. Factories often close for several weeks, and many don't return to full production until around March. To ship before the holiday, goods need to leave the port in China by mid-January at the latest. Working backwards from that, orders should be finalised and in production by early November. That leaves a safe buffer for any factory delays, transport to the port and export customs clearance. Factory production lines are often fully booked before Christmas, so new orders placed later may have to wait until after the holiday. Plan ahead, and talk to us early.
Can you store goods for us in your Cyprus warehouse?
Yes, for many products, once the goods have been paid for. It depends on size: smaller items are no problem, but we can't hold very bulky goods like large furniture orders. Transport from our warehouse to you also needs to be planned and costed, so storage charges, delivery schedules and minimum delivery quantities are agreed case by case, in advance. That way, both sides know exactly what to expect and what it will cost.
